Operations & Admin Assistant (Part-Time)
The Bothy Society is looking for a part-time Operations & Admin Assistant to help run the day-to-day of our music business. We work across management, record label, publishing/rights management and synchronisation, and we're looking for someone who is highly organised, reliable, and comfortable working independently. This is not a role for someone who needs close supervision; it suits someone who enjoys taking responsibility, keeping systems in order, and helping a small business run properly.
You don't need formal qualifications, but good judgement, attention to detail, a strong work ethic, and a willingness to take on a wide range of tasks as needed are essential. As a small company, priorities can change, and this role will suit someone who is flexible, practical, and happy to help wherever they're needed. The work will always be reasonable and relevant to the business, but this is not a role with a rigid job description.

This is a part-time role (2 days per week) on a one-year contract, paid at Living Wage (Scotland). The role is remote, but we'd like someone based in Glasgow for occasional in-person meetings.
What you'll be doing
This is a broad role and the task list will shift depending on what the business needs. On any given week, you might be doing some or all of the following:
Bookkeeping and invoice management in QuickBooks, including preparing records and VAT information for review
Replying to emails and handling day-to-day correspondence professionally on behalf of the business
Coordinating releases — setting up tracks, updating metadata, and liaising with artists and distributors
Royalty reporting and catalogue admin, including PRS and PPL registrations
Drafting and managing contracts, sending for signature, and keeping records up to date
Research — finding contacts, identifying sync opportunities, and keeping databases current
Diary management and project coordination across multiple workstreams
Building and maintaining spreadsheets and tracking systems to support the business
If your core tasks are done, you'll be expected to use the remaining time proactively rather than wait for instruction.
How we work
Day-to-day communication is via Discord, email and phone, with weekly or fortnightly check-ins. You'll manage your own time, raise questions early, and flag issues before they become problems. We're not looking to micromanage.
What we're looking for
Essential
Highly organised with strong attention to detail
Comfortable working independently and managing a varied workload
Strong spreadsheet skills — you should be confident building and maintaining spreadsheets, working with formulas, and setting up tracking systems
Strong written communication, including professional email correspondence
Trustworthy with sensitive and confidential information
A genuine interest in Scottish and Irish traditional and contemporary music
Desirable
Experience with QuickBooks or similar bookkeeping software
Familiarity with PRS, PPL or other music collection societies
Background in music admin, labels, publishing or artist management
Experience with release administration or music distribution platforms
Practical details
2 days per week (4 mornings or 2 full days)
